Readings - Import

The Readings - Import page is used to import and process a customized, external file of utility readings, as well as view previously imported readings.

To open the Utility Readings – Import page:

  1. Access the Utility module by clicking the Utility link at the top of the page.

  2. Select the Readings tab.

  3. Click the Import link.

To upload and import an external utility reading:

  1. In the Import Batch Name field, enter a name for the import batch.

    The name must be unique.

  2. In the File Type field, select the file type to be imported.

    Valid file types are CSV and Text.

  3. In the Import Type field, select whether the import file contains Readings or Consumption information.

    A Readings file will accept readings for meter sites with meters installed. A Consumption file will accept consumption amounts for meter sites. If a meter is installed at a site for a Consumption file format, then the reading will be calculated as well.

  4. Select the file to import file by clicking the Browse button.

    A dialog box opens allows you to locate the file. You can attach a file from your local hard disk or any networked drive you can access. Files should be no larger than 20MB.

  5. Click OK.

    If the file is invalid, an error message will appear and the import will not be committed.

  6. Click PROCESS BATCH to process an external utility reading.

    All valid data will be entered into the system and invalid data will be discarded. To validate all data, the batch must be deleted and imported again with correct updated information. To delete a batch, select the Delete Batch link and confirm the deletion. The batch will need to be uploaded and imported again before the information can be processed and committed to the database.

    The meter site name must already exist in the database. If not, an Invalid Meter Site validation error will appear when attempting to process batch information. The meter site name in the uploaded file must be unique. For rows with a duplicate meter site name, a Duplicate Meter Site validation error will appear.

    The meter name must already exist in the database, have an active status, and be installed on the meter site associated with the batch information. If not, an Invalid Meter validation error will appear when attempting to process batch information.

    Once a batch has been processed, the status changes to Process - Completed and the information cannot be deleted.

ClosedBatch View

This page can also be used to view and process previously imported batches. To view a previous import batch:

  1. In the Import Batch field, select the import you want to view.

    The following general information about the batch is displayed in the gray pane:

    • Batch Number – the unique identifier for the imported batch

    • Uploaded By – the name of the user who originally imported the batch

    • Uploaded Date – the date and time when the batch was imported into the system

    • Processed By – the name of the user who processed the batch

    • Status – the state of the import batch:

      • Uploaded - Not Validated – the imported entries did not pass all validation

      • Uploaded - Validated – the imported entries passed all validation

      • Processed - Completed – the import batch was processed without error and committed to the database

    • File Name – the name of the uploaded CSV or text file

    • Import Type– indicator of whether the import file contains Readings or Consumption information

    The following rows of information are displayed for each meter site in the batch:

    • Meter Site Name – the name of the meter site associated with the batch information

    • Meter Name – the name of the meter associated with the batch information

    • Billing Period – the billing period assigned to the utility belonging to the meter site (the billing period must be open)

    • Demand Reading – the maximum use of the utility during a given interval, in a valid number format

    • Meter Reading – the current reading value for the meter site, in a valid number format; this value cannot be larger than the maximum meter format value, which is specified on the meter record, if the meter is attached to a meter site

    • Reading Date – the date when the meter reading values were recorded

    • Validation – information about any validation errors in the import
